Privacy Policy
This policy explains what information CosmoLabs (“we”, “us”) collects when you use this website, how we use it, who processes it on our behalf, and the choices you have. If you have any question, email cosmolabshq@gmail.com.
1. Information we collect
- Project brief. When you submit the “Start a project” intake form, we collect the information you provide: your email address, phone number, project title and description, any reference links, colour-scheme preferences, your answers to clarifying questions, and any files you choose to attach.
- Contact form. The contact form opens a pre-filled message in your own email application. It does not transmit or store anything on our servers — sending the email is your action.
- Technical data. When you submit a brief we record the originating IP address and browser user-agent string, together with timestamps, to operate the service and protect it against abuse. In addition, this site loads its web fonts from Google Fonts, so on any page you view your IP address and user-agent are sent to Google’s servers to deliver those fonts.
- Preferences. Your chosen site language is stored in your browser’s local storage. We do not use advertising or cross-site tracking cookies.
2. How we use your information
- To read, scope and respond to the project brief you submit.
- To communicate with you about your enquiry (including a confirmation email).
- To secure the service — rate limiting, bot detection and abuse prevention.
- To meet legal and record-keeping obligations.
We do not sell your personal information, and we do not use it for advertising.
3. Automated processing (AI)
To suggest clarifying questions for your brief, the project title, description, reference links and colour-scheme notes you enter may be sent to our AI provider (Anthropic) to generate those questions. This assists a human reviewer; it does not make decisions about you. You can leave the optional clarifying answers blank.
4. Service providers (sub-processors)
We rely on the following providers to run the service; each processes data only to provide their function:
- Vercel — website hosting and private file/record storage.
- Google — Gmail for sending the notification and confirmation emails, and Google Fonts for serving the site’s typefaces (which receives your IP and user-agent on each page load).
- Anthropic — generating the clarifying questions described above.
- Cloudflare — bot-protection (human-verification) challenges, where enabled.
5. Data retention
We keep project briefs and their attachments for as long as needed to respond to and manage your enquiry, and to keep reasonable business records. You may ask us to delete your submission at any time (see “Your rights”).
6. Your rights
You may request access to, correction of, or deletion of the personal information you have submitted. Email cosmolabshq@gmail.com with your reference id (shown after you submit) and we will act on your request in accordance with applicable law.
7. Security
Submissions are transmitted over HTTPS and stored in a private store that is not publicly accessible. No method of transmission or storage is perfectly secure, but we apply reasonable technical and organisational measures to protect your information.
8. Children
This site and its services are intended for businesses and adults. It is not directed to children, and we do not knowingly collect information from them.
9. Changes
We may update this policy from time to time. Material changes will be reflected here with a new “last updated” date.
Terms of Service
These terms govern your use of this website and the project-intake service. By using the site or submitting a brief, you agree to them.
1. The service
This website presents information about CosmoLabs and lets you submit a project brief so we can respond with next steps. Submitting a brief is a request for contact; it does not create a contract or engagement, which only arises from a separate written agreement.
2. Acceptable use
- Provide accurate information and only submit content you have the right to share.
- Do not upload malware, unlawful content, or anyone else’s confidential information without authorisation.
- Do not attempt to disrupt, overload, probe or gain unauthorised access to the site or its APIs.
3. Your submissions
You retain ownership of the material you submit. You grant us permission to use it for the purpose of reviewing and responding to your enquiry. You are responsible for ensuring you have the rights to any content and files you provide.
4. No warranty on estimates
Any timelines, scopes or suggestions we share in response to a brief are preliminary and non-binding until set out in a signed agreement.
5. Intellectual property
The site’s content, design and brand are owned by CosmoLabs and may not be copied or reused without permission.
6. Third-party services
The service depends on the providers listed in the Privacy Policy. Their availability and behaviour are outside our control.
7. Disclaimer & limitation of liability
The site is provided “as is” without warranties of any kind to the fullest extent permitted by law. To the extent permitted by law, CosmoLabs is not liable for indirect or consequential losses arising from your use of the site.
8. Changes
We may update these terms; continued use of the site after changes take effect constitutes acceptance of the revised terms.
9. Governing law
These terms are governed by the laws applicable at CosmoLabs’ principal place of business, without regard to conflict-of-law rules.
